RE: AniCu AGM 2009
Some people seem to be confused about what each role is, so here is a small breakdown of the responsibilities and skills needed for each of the main jobs, along with OCM.
President:
The president generally oversees what the rest of the executive committee does. They also handle most liasoning with the guild and departments, and other clubs when necessary. The president also emails members every so often, even though it's generally the job of the secretary.
Vice-President:
Probably the most difficult job along with secretary, the role of vice is to act as president when need be, along with delegating and following up on anything the rest of the club committee should be doing when they are unable to. If there is work to be done that doesn't fall to the treasurer or secretary, and no OCM's are able to, it's generally the vice president who does so, or the president if he cares. Additionally, the vice president manages all of the club's IT work. This includes being familiar with the website and minato's back-end code and being able to debug and maintain both, along with any other IT work the club has.
Secretary:
The job of the secretary is to keep a record of everything to do with the club, such as meeting minutes, membership registers, and any communication with other clubs or people. The secretary handles all general liason work both inside the club and out. While this sounds easy, it's also rather heavy as there is quite a lot the club does and it ALL gets documented by the secretary.
Treasurer:
The treasurer takes control over all the clubs funding, along with stocklists of the club's food and anything else the club sells. The treasurer writes monthly reports to the committee, along with weekly updates on the status of all stock and funds. Any expendatures must be reported to the treasurer for documentation, who in turn informs the secretary once a month to log it. The treasurer, or someone delegated by them, also handles purchases for the club.
That's the executive committee. The executive committee delegate tasks out to the ordinary committee members and keep track of everything the OCM's are doing, and report on it at executive meetings, where the president then advises and delegates work out themselves. While the president tends to manage things, its really the other three who do most of it along with supervising the OCM's.
Ordinary Committee Member:
OCM's do a lot of the grunt work for the committee. Whether it's restocking the food supply, setting up events, or managing screenings, it generally falls to the OCM's. The executive committee supervise the OCM's to ensure everything is done, essentially the club wouldn't function without them. OCM work is often fun and involves a lot more interaction with the members, and gives potential members of the executive committee a chance to see how the club runs.
I basically wrote this because people just applied willy-nilly for everything without any idea of what they would be expected to do. From my own experience, VP work requires some decent technical knowledge, and secretary work often requires you to be very familiar with people in the Perth anime community, or at least very open and not shy. Now that everyone gets the gist of what the club roles are, let's make 2010 a great year.
